Printing and Print Options in Excel - Image Tutorial

Once your file is formatted and saved, you probably want to print. There are a few important features in Excel that will be useful for setting up the layout and the look of the spreadsheet when printed.


Previewing what your spreadsheet will look like when it printed:

  1. Left click on File on the menu bar.



  2. Click on Print Preview.



  3. Looks good. Click on Print. Then Click OK.



  4. Doesn't look good, play with the options. Here they are.
Setting a print area:
  1. Highlight the Cells with the data you would like to print.



  2. Click on File on the menu bar.



  3. Click on "Print Area".
  4. Click on the "Set Print Area".



  5. The dashed line outlines the print area. If it looks like it is more than one box, it means the document will print on multiple pages
You want to print the page sideways (landscape):
  1. Click on File on the menu bar.



  2. Click on Page Setup.



  3. Click on the Page.
  4. Select the landscape option.
  5. Click "Ok"



  6. Click File.



  7. Click Print.



  8. Click Ok.
Printing multiple copies of a document:
  1. Click on File on the menu bar.



  2. Click on Print.



  3. Increase the number of copies.
  4. Click Ok.

Changing paper size:
  1. Click on File on the menu bar.



  2. Click on Page Setup.



  3. Click on the Page tab.
  4. Select the paper size you would like.
  5. Click "Ok"



  6. Click File.



  7. Click Print.



  8. Click Ok.
